ORGANIZATIONAL SUMMARY:
The Department of Chemical, Biological, and Materials Engineering currently has 14 full-time faculty, 1 Assistant Professor of Instruction, and 4 emeriti faculty. The department offers B.S., M.S., and Ph.D. degrees in chemical engineering and an M.S. in Materials Science and Engineering. It offers a wide array of classes ranging from core engineering courses to electives that are highly specialized courses for majors in each of our degree programs.
POSITION SUMMARY:
The purpose of this position is critical to the success of the department, serving as the front line person int the office; working with both undergraduate & graduate students, faculty and staff. The person in this department will work in a fast paced environment, requiring excellent communication (verbal and written) and technical/computer and problem solving skill sets.
The candidate will work with the Academic Services Administrator to support the department's programs by working with faculty assigned duties, attendance and leave, class scheduling, book ordering, support faculty hiring and tenure and promotion.
RESPONSIBILITIES:
Undergraduate Student Advising Process. Assist Undergraduate Advisor and Academic Services Administrator. Assist with the collection of data to complete various reports pertaining to enrollment, registration, and recruitment of students; keep records; utilize computer data input such as Excel and Word for Windows software; maintain grade records; notify students regarding academic program progress; register students for classes; assist with paperwork for graduation, etc.
Graduate Student Advising Process. Assist Graduate Advisor and Academic Services Administrator. Assist with the GAR process and response to inquires regarding application status; maintain graduate student applicants and records; assist with the hosting of prospective student visits; maintain database of students, etc.
State Procedures, Processes, & Systems. Utilize knowledge of internal procedures of the department, as well as, the state university system. Utilize and have a working knowledge of systems such as: Banner/OASIS. Input data in university systems and in Excel files. Contact appropriate faculty; maintain yearly records of previous courses, reports and newsletters.
Registration/Enrollment. Coordinate and act as liaison for registration process. Input student course information into OASIS system; maintain class rolls, grade sheets and other paperwork associated with the process. Assist UG, Graduate Advisors, ASA, and Chair with the collection of data for completing reports. Process SASS reports, transcripts, etc.
Office Duties. Act as the front line person in the department office for students and faculty. Assist in the coordination and implementation of the Graduate Seminar Series. Disseminate information to appropriate departments. Maintain records on seminars to be used for report referencing. order Keys/building access for faculty and students. Collect sylabi from Faculty; order text book and desk copies. Maintain bulletin boards. Process student exit interviews; maintain Blackboard.
Administrative Assistant to the Chair. Assist Chair and ASA with daily operation of office functions. Set up meetings as needed; book rooms, set up refreshments for various meetings; Assist in setting up meetings for ABET related activities such as Advisory Board. Assist in preparation of tenure/promotion packages. Assist the student chapters of AlChE, BME, Omega Chi Epsilon as needed.
Perform other duties as assigned.

MINIMUM:
This position requires a High School Diploma and 4 years of relevant office experience.
